Never Ghost a Client Again: Outlook Follow-Up Flags and Reminders
Good relationships run on good follow-up.
"Ghosting" is the modern word for suddenly dropping all contact with someone. Nobody likes being ghosted, and most of us would never do it on purpose.
But in business, it happens all the time, and almost never on purpose. You send a proposal and plan to check in next week. A coworker promises an answer by Friday. A former client mentions they might need help in the spring. Then the inbox fills up, the week gets busy, and the follow-up quietly slips away. To the other person, it looks exactly like being ghosted.
Outlook's follow-up flags and reminders make sure that doesn't happen. They turn "I should follow up on that" into a reminder that pops up at the right moment.
These steps are for classic Outlook for Windows. If you use the new Outlook for Windows, flags are simpler and some options below may look different or be unavailable.
1. Flag an Email with a Custom Reminder
Clicking the little flag next to a message marks it for follow-up, but it doesn't remind you of anything. Adding a reminder is what makes it work.
- Select the message you need to follow up on.
- On the Home tab, click Follow Up and choose Add Reminder. (You can also right-click the flag next to the message, or press Ctrl Shift G.)
- In the Custom dialog box, choose what the flag means from the Flag to list, such as Follow up or Call.
- Set the Start date and Due date.
- Make sure Reminder is checked, then pick the date and time you want to be reminded.
- Click OK.
Outcome: Outlook reminds you at exactly the right moment, so you can stop keeping follow-ups in your head and focus on today's work.
2. Flag Your Own Message Before You Send It
This is the best tip for anyone who sends proposals, quotes, or questions and then waits for a reply. You set the reminder before you hit Send, so you'll know if the other person never answers.
- Write your message as usual.
- On the Message tab, click Follow Up and choose Custom.
- Check Flag for Me.
- Check Reminder and choose a date and time, such as five business days from now.
- Click OK, then send the message.
When the reminder pops up, check whether you've heard back. If you have, mark the flag complete. If not, it's the perfect time for a friendly check-in.
Outcome: No proposal or important question ever disappears into silence. You follow up promptly and professionally, which clients notice and remember.
3. Keep in Touch with People, Not Just Emails
Some relationships need a check-in even when there's no email to reply to, like a past client you'd like to touch base with each quarter. You can flag a contact, too.
- Open People (Contacts) in Outlook.
- Select the contact you want to follow up with.
- On the Home tab, click Follow Up and choose Add Reminder.
- Set the due date and the reminder date and time, then click OK.
Outcome: You stay in touch with the people who matter most to your business, and your past clients hear from you before they need to go looking for someone else.
4. See Every Follow-Up in One Place
Flags are only helpful if you can see them all together. Outlook collects every flagged email and contact in your task list.
- On the View tab, click To-Do Bar and choose Tasks. A list of your flagged items appears on the right side of the window, sorted by due date.
- Or click the Tasks (To Do) icon in the navigation bar to see the full list.
- When you finish a follow-up, click its flag to mark it complete.
Outcome: You start each day with a clear list of who needs to hear from you, instead of digging through your inbox to remember.
A Word About "Flag for Recipients"
In the same Custom dialog box, you'll see an option called Flag for Recipients, which adds a flag (and optionally a reminder) to the message the other person receives. It only works if they use Outlook, and some people find it a bit pushy. It's best saved for coworkers who have asked for it, not clients.
Relationships Run on Follow-Up
The people you work with rarely remember every detail of a proposal. What they remember is whether you followed through. A few flags and well-timed reminders make you the person who always does, and that's a relationship no one will ever feel ghosted by.
